Privacy Policy (POPIA)

The Policy We're Forced to Write

Last Updated: 14 November 2025

1. The Introduction – Let’s Be Honest

Welcome to Codexist. You’re here because you want us to build magic internet things. We’re here because it pays the bills.

This document is the mandatory legal drivel that a lawyer, who charges by the minute, insisted we have. It’s the digital equivalent of the terms and conditions you scroll past to click “I Agree.”

We’re supposed to tell you we “take your privacy seriously.” What does that even mean? We won’t sell your data to Russian hackers or your mother-in-law, if that’s what you’re worried about. We comply with POPIA (Protection of Personal Information Act) because, frankly, the fines look expensive.

2. What We Collect (And Why We Bother)

We’re not building a file on you for the CIA. We just need this stuff so we can do the job you’re paying us for.

  • Your Vitals: Name, email, phone. We need to know who you are, where to send the bill, and who to call at 3 AM when your server explodes. (Kidding. Maybe.)

  • The “Secret Sauce”: Your project briefs, your competitor list, and that 2 AM napkin sketch that looks less like a website layout and more like a map of a mental breakdown. We need it to build your vision, or at least interpret it.

  • The “Keys to the Kingdom”: Yes, we need your logins. Your CPanel, your WordPress admin, your Google Ads. We can’t build the house if you won’t give us the key. We understand this is an awkward level of trust, like lending someone your toothbrush.

  • Digital Skid Marks: When you visit our site, we log your IP and browser. This isn’t for our scrapbook. It’s so we can tell our developers, “See? The site is broken in Firefox, you useless…”.

3. How We Justify Having Your Info

We don’t just sit around stroking your data and cackling. We use it for:

  1. Doing the Work: We use your logins and briefs to code, debug, and hopefully not break your digital masterpiece.

  2. Contacting You: To send invoices, project updates, or the occasional “Have you tried turning it off and on again?” email.

  3. Marketing (If You Hired Us For It): To make Google think you’re the most important thing since sliced bread. This involves technical voodoo you’re paying us not to have to understand.

4. Who We Share Your Secrets With (The Short, Depressing List)

This is a business, not a confessional. We don’t “share” for fun.

  • The Tools: We use third-party services for things like hosting (NOT Hetzner) or analytics (Google). They’re massive, soulless corporations. If you think our privacy policy is a joke, you should see theirs.

  • The Government: If the authorities show up with a warrant—a real one, not just a guy in a trench coat—we’re not going to jail for you. We’ll hand over what they ask for. Let’s hope you’re not that interesting.

  • Nobody Else. Seriously. We’re not data brokers. It’s a sleazy business, and frankly, we’re too lazy.

5. The “Please Don’t Use ‘Password123′” Protocol

You’re giving us the keys to your entire digital operation. Let’s not be idiots about this.

  • We use proper, encrypted password managers. We don’t use a Post-It note. We’re not 70 years old.

  • If you can, give us delegate access. Create a separate user account. That way, when you fire us (it happens), you can just click ‘delete’ and we’re gone. No messy “Did they keep a copy?” paranoia. It’s cleaner for everyone.

6. Cookies (The Internet’s Annoying Pop-Up Blocker)

Yes, we use cookies. Not the fun, chocolate-chip kind. The digital, privacy-invading kind. Why?

  • Functional Cookies: These make the site work.

  • Marketing Cookies: These are the creepy ones. They tell us you visited, and then our ads will stalk you around the internet for a week, reminding you to hire us. It’s gross, but it works.

Your browser has a “Block All Cookies” button. Go ahead, click it. We dare you. See what breaks. You can’t escape them. They always win.

7. Your Rights (The One Part That’s Actually About You)

Under POPIA, you’re the “Data Subject,” which makes you sound like a lab experiment. You have the right to:

  • Ask “What do you have on me?” We’ll send you a file. Don’t expect it to be juicy.

  • Say “You got it wrong.” If we spelled your name “G-e-o-f-f” instead of “J-e-f-f,” we’ll fix it.

  • Demand the “Ninja Vanish.” You can ask us to delete you. We’ll erase everything we legally can. (Note: The tax man makes us keep invoices for years, so you’ll never truly be free. Sorry.)

8. Yell at This Person If You’re Mad

If you’re genuinely concerned, or just have a burning desire to complain about a data-protection clause, here’s your target.

  • Our Official Info-Burden-Holder: Juhan

  • Email: info@codexist.co.za

  • Location: Randburg / Johannesburg (Seriously, email first. Showing up unannounced is how you get tackled.)
