Creating documents

Three dedicated screens: New Invoice, New Estimate, and Generate SOW, each opening straight into the right kind of document.
AI generation from a plain-English brief. Paste notes from a client call or email and get back a structured, itemised document.
AI requests are proxied through your own site, so your OpenRouter API key never reaches the browser.
Start Blank Invoice to fill one in yourself with no AI call at all.
Refine with AI chat panel. Describe a change (“apply a 10% discount”, “change payment terms to 30 days”) and only that change is applied to the live document.

Pricing

Fully editable output. Click any field to change it.
Live pricing table: enter a Qty and a Unit Price Incl. and the line total, that line’s VAT, the Subtotal, VAT total, and Grand Total all recalculate as you type.
Document-level VAT rate, plus a discount as a percentage or a flat amount.
Add Line Item button.

Styling and branding

Document Style toolbar: font, text size, and colour for the whole document, or select any passage and restyle just that (bold, italic, underline, colour, size, alignment). Saved with the document.
Your company branding on every document: name, email, phone, address, logo, signatory, VAT number, company registration number, and banking details for invoices.
Configurable currency and accent colours.

Getting the document out

One-click PDF export from the generator.
Download PDF on every row of My Documents, for estimates, invoices, and Scopes of Work, without reopening them. (New in 2.6.0)
Email Client action, opening the document in your default mail app.

Saving and organising

Save any document to My Documents, then search it, filter by type and status, and reopen it to keep editing.
Convert a saved estimate to an invoice in one click. Keeps the line items, links back to the original, and starts a fresh invoice reference.
Import / Export: export your clients and documents as a single file, and import one back. Importing twice is safe, nothing gets duplicated.

Pro — the business around the document

Clients CRM

Add, edit, archive, and delete clients. Search and filter, including by tag.
Jump straight from a client to their saved documents.
Client picker on every document screen. Pick a saved client and their name, company, email, phone, address, and VAT number fill the document automatically, and the AI is told who it is writing for.
A logo on each client record, chosen from your Media Library. (New in 2.6.0)
Per-client account statements listing their invoices and payment status, showing your logo and the client’s, downloadable as a PDF. (Both logos new in 2.6.0)

Send Quote and online approval

Email a saved estimate to the client with a secure link to view it online.
The client can Approve, Decline, or Request Adjustments, with a comment required for adjustments.
You are emailed the moment they respond, and their decision plus comment shows on the Documents screen.
Reset a quote back to “Sent” to let them respond again after you make the changes.

Payments and invoice status

Invoice status tracking: Draft, Pending, Paid, and an automatically derived Overdue, changed straight from a dropdown on each row.
Payments ledger. Record part payments and an invoice is marked Paid automatically once it is settled in full.
Dashboard cards showing total outstanding with an overdue count, and total received.

Automatic reminders

A Due / Expiry column on My Documents.
One reminder email sent automatically 3 days before that date: a follow-up to the client on an estimate still awaiting a response, or a payment reminder on an unpaid invoice.

Campaigns

Build a mailing segment from your clients by status and tag. Only subscribed clients are ever included.
Compose and send a campaign email through your site’s configured mail.
Permanent per-recipient send log, and an unsubscribe link on every email.
The 14-day Agency trial

Every new install starts with all Pro features unlocked for 14 days. Nothing to enter, no card, nothing to cancel. It runs once per site and simply ends. Your documents, clients, and settings all stay exactly where they are.

Two things that never depend on your licence
An estimate link already emailed to a client keeps working, forever.
Campaign unsubscribe links keep working.

The client never bought anything from you, so they should not be the one inconvenienced if a licence lapses.

Version 2.6.0 — 27 September 2026 New: download a saved document as a PDF in one click Every document on your My Documents list now has a Download PDF button, whether it is an estimate, an invoice, or a Scope of Work. Previously you had to reopen a document in the generator before you could export it. Now you can send a client their invoice straight from the list. The PDF prints the document exactly as you last saved it, fonts, colours, and layout included, so what the client receives is what you signed off on. New: add a logo to each client Client records now have a Logo field. Click “Choose from Media Library”, pick their logo, and it is saved against that client. There is a preview so you can see what you picked, and a Remove button if you change your mind. Improved: account statements are properly branded A client’s account statement now shows your company logo, name, email, phone, and VAT number at the top, with the client’s own logo alongside their details in a new “Statement For” block. Both appear in the PDF download too. A statement now reads clearly as being from you to them, rather than as an unlabelled list of invoices. Client logos are included when you export your data, so nothing is lost if you move your site. Good to know If a document was saved a long time ago and has no stored content, the download will tell you so.
